The best proposal software for small sales teams

By Justin HamptonLast updated Reviewed by Justin HamptonHow we write these

Short answer

For small sales teams that run their own demos, AfterDemo is our top pick: it turns each demo into one interactive proposal page with the buyer's problems in their own words, a business case for the approver and per-person tracking, on one simple plan. PandaDoc, Proposify, Qwilr and GetAccept are broader proposal and document tools, each packaged differently.

Key takeaways

  • AfterDemo ranks first for teams that send a proposal after each demo and need several people to approve it.
  • AfterDemo buyers never log in, share it with colleagues on their own links, and accept with one click.
  • Seat minimums on Qwilr Growth and GetAccept Professional can raise the real cost for a team of two.
  • A web page suits proposals that several people must agree on; a PDF suits a single decision-maker.

The best proposal software for a small sales team isn't the one with the biggest template gallery. It's the one that gets your proposal read, understood and approved by the people you never met on the demo. I make AfterDemo, so I've put the ranking criteria above and kept every competitor fact tied to its own pricing page. If you're still deciding between a PDF and a web page, start with PDF proposals vs interactive proposals. For every comparison we've done, see the compare hub.

AfterDemo

AfterDemo turns a demo call into one interactive proposal page. You paste a transcript or notes and AI drafts the buyer's problems in their own words; nothing AI drafts reaches the buyer until you approve it. Each problem gets your solution, with video, images or files. Pricing is laid out with 1-, 2- and 3-year terms, and the buyer accepts with one click.

Buyers never create an account. They can share the page with colleagues (each gets their own link), print it, and build a one-page business case for their approver. You see who opened it, which sections they read and for how long, and who it was shared with. A section library lets you write About Us and pricing once and reuse them. Sent and accepted proposals are logged on the HubSpot deal. One plan, billed monthly or annually, with a 30-day trial and no card.

Best for: small teams that run their own demos and need the buyer's colleagues to agree. Open the live example to see it from the buyer's side.

PandaDoc

PandaDoc is a document platform for proposals, quotes and forms, with a free plan of 5 documents a month. Business adds custom quotes, CRM integrations, a content library, deal rooms and approval workflows. See PandaDoc alternatives.

Proposify

Proposify is a proposal specialist with a content library, AI writing and analytics that show when each recipient opens a document and how long they spend in each section. Grow adds roles, permissions and approval workflows.

Qwilr

Qwilr builds proposals as web pages, with analytics and HubSpot, Zoho and Pipedrive integrations on Starter. Growth needs five users and Scale ten, both annual. See Qwilr alternatives.

GetAccept

GetAccept pairs document tools with a digital sales room. Professional adds deal rooms, mutual action plans, GetAccept AI, a pricing table and product library, document tracking and CRM integrations, with a five-user minimum.

What a small team needs from proposal software

For small teams that run their own demos, deals often stall not on the demo but in the weeks after, when the proposal sits in an inbox or gets forwarded without context. Whatever you choose, judge it on these:

It starts from what the buyer said. A proposal that opens with the buyer's own problems reads like it was written for them. One that opens with your company history reads like a brochure.

It travels well. Your contact forwards it to a manager, who forwards it to finance. A link that works for anyone they share it with, a version that prints cleanly and a short summary for the approver keep the deal moving without you.

Pricing is easy to compare. Put the options side by side so the approver can see the trade-off in seconds.

You know who's reading. Per-person tracking tells you when the approver opens it, so your follow-up lands at the right moment.

It's quick to send. If a proposal takes a day to build, it goes out a day late. Reusable sections and a draft from your call notes close that gap.

How to pick

  1. Write down what you send after a demo. If it's a proposal that several people need to approve, weigh sharing and an approver summary heavily.
  2. Count who has to agree on the buyer's side. The more people, the more sharing and an approver-ready summary matter.
  3. Check seat rules for your team size. Minimums can double the real cost for a team of two.
  4. Send one real proposal in a trial. If you need a starting point, our sales proposal template works in any of these tools.

Questions people ask

Is there free proposal software?

PandaDoc has a free plan with 5 documents a month. Proposify and Qwilr offer 14-day trials, and AfterDemo offers a 30-day free trial with every feature included and no card.

What's the best proposal software for a team of one to three?

Look for plans without seat minimums. PandaDoc, Proposify's Build plan, Qwilr's Starter plan and AfterDemo can all be bought for one user. Qwilr Growth and GetAccept Professional need five.

Should a proposal be a PDF or a web page?

A PDF is fine when one person reads it and decides. A web page works better when several people must agree, because it can be shared per person, stays current and shows you whether it was read. Our guide to PDF vs interactive proposals covers the trade-offs.

Why is AfterDemo ranked first?

We ranked against criteria built for small teams that send a proposal after each demo: getting it read, understood and approved by the buyer's colleagues. AfterDemo is built for exactly that job. We make it, and we disclose that in the criteria above.
